Enhancing Team Transparency through Job Description Notes in CEIPAL
In a collaborative recruitment environment, multiple recruiters often work on the same job requisition. While teamwork accelerates hiring, it can also create overlaps, confusion and repeated candidate probing if information isn’t documented clearly.
To ensure seamless communication, consistency and transparency, the Quality Team introduced a structured practice — adding role-specific questions under the Job Description Notes section in CEIPAL.
This not only keeps everyone aligned but also ensures that the questions match the Voice of Recruiter (VOR) — the key qualifying parameters discussed during client meetings or requirement calls.
Objective
The initiative aims to:
• Maintain transparency and collaboration among recruiters working on the same role.
• Avoid duplication of effort by sharing existing probing questions.
• Ensure all recruiters follow a standardized screening process.
• Update CEIPAL dynamically with newly probed questions from candidate calls.
• Strengthen the connection between recruiter actions and VOR expectations.
Implementation
To make this process effective, the following guidelines were established:
1. Every recruiter has access to the Job Description Notes section in CEIPAL.
2. If questions are already listed and aligned with the VOR, there’s no need to add them again.
3. If during a candidate call, a recruiter probes an additional relevant question not listed previously, that new question should be added to the Notes section.
4. These updates ensure the next recruiter can instantly refer to the full list — maintaining clarity, saving time and promoting consistency.

Newly Probed Question (Added by Recruiter 2 after a candidate call):

Recruiter 2 noticed during the candidate discussion that API integration was a recurring skill mentioned by shortlisted candidates and decided to document this as an additional screening question — enriching the overall repository for the team.

The introduction of this transparent documentation practice in CEIPAL led to:
