Maintaining accurate and detailed candidate notes is a critical part of the recruitment lifecycle. Inconsistent or incomplete updates can lead to process delays, miscommunication, lost opportunities, and ultimately, lower client satisfaction and a negative candidate experience.

To address these challenges, the Auditors team initiated a focused effort on enhancing real-time updates in Ceipal, emphasizing comprehensive and structured documentation of candidate interactions.

Objective

The goal was to:

  • Ensure transparencythroughout the hiring process
  • Enhance collaborationacross teams by providing up-to-date candidate status
  • Streamline the recruitment workflow and reduce turnaround times
  • Improve overall candidate and client experience

Process Implementation

Recruiters were trained and instructed to consistently update the Candidate Notes section in Ceipal immediately after each interaction with a candidate.

Key updates mandated included:

Email Shared: Document when communication (Job Description shared, RTR- Shared for JPC ID XXXXX, client details or detailed note (candidate not interested, looking for high payrate, location issue, not available in the job market, etc.) is sent to the candidate.

  • Left Voicemail (LVM): Note attempts to reach the candidate and follow-up timelines.
  • RTR(Right to Represent) Shared with JPC ID: Update once the RTR form or approval is sent to or received from the candidate.
  • Sent for Pre-Screening: Record details when candidate profiles are forwarded for internal/client pre-screening.
  • Submitted to Client: Need to mention if the candidate got submitted to client, if not rejected by the lead (with reason)
  • Interview Updates: Clearly mention when interviews are scheduled, completed, and feedback (positive or negative) is received.
  • Candidate Shortlisted: Update when the candidate is shortlisted post-client review.
  • Candidate Placed: Document final placement details once the candidate accepts the offer and joins.

Results Achieved

RTR Sent → Prescreening Sent → Prescreening Done → Submitted to Client → Shortlisted → Interview Follow-Up Call / Interviewed → Placed
